BuffedAI provides AI receptionist software for service businesses. This policy explains what information is collected, how it is used, and how customers can contact us about privacy requests.
Information We Collect
We collect account details, business profile information, billing identifiers, call metadata, call recordings, transcripts, lead details, notification logs, provider webhook payloads, and support or admin audit records.
Call Recording and AI Disclosure
AI receptionist calls include a disclosure that the caller is speaking with an AI receptionist and that the call may be recorded. Recordings and transcripts are used to create call summaries, leads, and customer notifications.
How We Use Information
We use information to authenticate users, verify businesses, run demo and production calls, create leads, send SMS and email notifications, provide billing, prevent abuse, troubleshoot provider failures, and improve reliability.
Service Providers
BuffedAI uses external providers for authentication, database hosting, billing, telephony, voice orchestration, speech-to-text, language model processing, text-to-speech, email, SMS, and business verification. These providers process data only as needed to deliver the service.
SMS and Email Notifications
Customers may configure owner SMS and email notifications for leads and urgent events. Message and data rates may apply. Recipients can reply STOP to supported SMS messages where carrier and provider rules apply.
Retention
Call records, recordings, and transcripts are retained for up to 24 months. Webhook logs are retained for up to 90 days. Admin audit logs are retained indefinitely. Lead and billing records are retained as needed for customer service, accounting, legal, and abuse-prevention purposes.
Security
Application data is tenant-scoped and accessed through authenticated server routes. Secrets are not exposed to the browser. Provider webhooks are validated where supported.
